Appointments & Scheduling
Viewing, booking, and managing your appointments through your AI agents
How Appointments Work
Your AI agents can schedule appointments in real-time during calls. When a caller requests a booking, the agent checks availability and confirms the appointment.
Viewing Appointments
The Appointments section shows all upcoming and past bookings:
| Column | Description |
|---|---|
| Date & Time | When the appointment is scheduled |
| Type | Service or appointment category |
| Contact | Who the appointment is with |
| Status | Confirmed, pending, or canceled |
| Booked by | Which agent or person created the booking |
| Source | Call, portal, or manual |
Booking an Appointment
Via Phone Call
Your AI agent handles this automatically:
- Caller requests an appointment
- Agent checks available times
- Caller confirms a slot
- Agent books it and sends confirmation
Via Command
Ask Command to book for you:
- "Book an appointment for John Smith next Tuesday at 2pm"
- "Schedule a consultation for this week"
- "What openings do we have tomorrow?"
Command uses your GoHighLevel calendar integration to check availability and create bookings.
Via Your Agency
For complex scheduling or rebooking, contact your agency directly.
Appointment Types
Your agency configures the appointment types available:
| Type | Typical Duration | Example |
|---|---|---|
| Consultation | 30 min | Initial client meeting |
| Follow-up | 15 min | Post-service check-in |
| Service call | 60 min | On-site visit |
| Custom | Varies | Configured by your agency |
Appointment types and durations are configured by your agency. If you need a new type added, contact them.
Rescheduling & Cancellations
- Reschedule — Contact your agency or ask Command to move an existing booking
- Cancel — Contact your agency or ask Command to cancel
Cancellations through Command require confirmation, since they affect your calendar and the other party.
Calendar Integration
Appointments sync with your GoHighLevel calendar. If you use a separate calendar system, ask your agency about integration options.
